Security & Trust
We know social workers handle sensitive information daily. Here's exactly how SpeakCase protects your data and why you can trust us.
SpeakCase is for YOUR notes, not recording clients
You dictate your own observations and reflections after visits or meetings. You're not recording conversations with service users. It's like a digital voice memo that writes itself into professional notes.
GDPR Compliance
SpeakCase is fully compliant with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. We've built privacy into the foundation of our product.
- 256-bit AES encryption - Your data is encrypted at rest and in transit using bank-level security
- UK/EU servers only - All data stored on ISO 27001 certified servers in UK/EU regions
- Right to deletion - Delete your account and all data permanently at any time
- Data portability - Export all your notes in standard formats (PDF, TXT, JSON)
- No data selling - We never sell, share, or monetise your data. Ever.
What We Cannot Access
We've designed SpeakCase so that we cannot read your notes or listen to your recordings. Here's what that means in practice:
- End-to-end encryption - Notes are encrypted on your device before upload
- No human review - Your recordings are processed automatically by AI, not reviewed by humans
- Automatic audio deletion - Audio files can be auto-deleted after transcription (your choice)
- Zero-knowledge architecture - We don't have the keys to decrypt your content
How Your Data Flows
Complete transparency on what happens when you record:
Audio can be automatically deleted after transcription, or kept attached to notes - your choice in settings.
SpeakCase Is (and Isn't) For
SpeakCase IS for
- Dictating your own verbal notes after home visits
- Recording your observations and professional judgement
- Quick voice memos during travel between visits
- Supervision notes and reflections
- Processing your thoughts before formal write-up
SpeakCase is NOT for
- Secretly recording service users
- Recording conversations without consent
- Replacing your professional judgement
- Storing official LA records (use your CMS)
- Sharing raw notes with third parties
You always review and edit notes before copying to your case management system. The AI assists with structuring, but you remain in full control of the final content.
Local Authority Approval
We understand that many social workers want to check with their LA before using any new tool. Here's what you need to know:
- Personal productivity tool - SpeakCase is used as an individual productivity tool, similar to using a voice memo app or digital notepad
- Data protection ready - Our security measures meet or exceed LA data protection requirements
- No CMS integration required - Works alongside your existing systems via copy/paste - no IT integration needed
- Team licences coming - If your LA wants formal procurement, contact us at partnerships@speakcase.app
Many social workers use SpeakCase similarly to how they'd use Notes, Voice Memos, or other apps on their personal or work phone. If in doubt, check with your IT team.
AI Assists, You Control
Some worry that AI note-writing might deskill social workers. Here's our philosophy:
- You provide the professional judgement - The AI transcribes and formats, but your expertise and observations are the content
- Always editable - Every note can be reviewed, edited, and refined before use
- Focus on families, not admin - Spend less time on paperwork, more time doing the meaningful work
- Reduces burnout - Administrative burden is a major cause of social worker burnout. We help reduce it.
Think of SpeakCase as a time-saving tool that handles the tedious formatting work, so you can focus on what matters: the families and individuals you support.
